What data do we collect?

Glasgow Kayak Club (GKC) collects the following data:

  • Personal identification information (Name, email address, phone number, etc.)
  • Contact information for an emergency contact
  • Reservations for club events reserved through the web site
  • Purchases of club products through the web site

How do we collect your data?

You directly provide GKC with most of the data we collect. We collect data and process data when you:

  • Apply for membership online, make a reservation for a club event, or place an order online for any of our products or services.
  • GKC may also receive your data indirectly from the following sources:
  • If you choose to use your Facebook login, we retain a reference to your Facebook ID
  • Website visits: – Information collected automatically using cookies: whenever you interact with our website (including when you browse the website or download information from it) we collect and store certain types of information about your visit using cookies. We describe how we use cookies and how you can disable them below. The information we collect using cookies includes information which identifies the computer you use to access the website, the date and time of the visit and the pages visited.

How will we use your data?

GKC collects your data so that we can:

  • Contact you regarding club business, for example general meetings.
  • Register your club membership with the Scottish Canoe Association (SCA)
  • Retain records of membership to fulfil the club’s legal obligation as a Scottish Charitable Incorporated Organisation (SCIO)
  • Get in touch with your nominated emergency contact in the event of an emergency while participating in club activities

Names of registered participants in Club events are visible on the web site to logged in Club members only. Names of prize winners and other participants in competitive events may be published on the web site and elsewhere after the event. No other information identifying individual members is published without their explicit consent.

The Club is affiliated to the Scottish Canoe Association (SCA), the governing body of the sport in Scotland, and registers the names, addresses and dates of birth of Club members with the SCA as required for affiliation. The SCA uses membership data in accordance with its privacy policy. GKC does not share your data with anyone else.

In line with its legal obligations as a SCIO, GKC will, in response to a reasonable request from a member, provide the membership list including the name and address of each member, including former members for a period of six years from the date on which they ceased to be a member,

How do we store your data?

GKC securely stores your data on secure sites provided by our web hosting provider GoDaddy.

A working copy of your data may be stored on the personal computer of a club committee member as an encrypted spreadsheet or similar.

GKC will keep your membership data for a minimum of six years from the date on which you cease to be a member. This is a legal requirement for a SCIO. Once this time period has expired, we will delete membership data periodically using a manual process.

GKC will keep your data relating to events for which you registered and goods that you purchased for 180 days from the date of the event or purchase. Once this time period has expired, we will delete your data by using an automated process.

Please note that email correspondence with us is in free format text and cannot be encrypted. Accordingly please do not send any sensitive information such as credit card details or passwords via email. Please also note that perfect security does not exist on the Internet. You’ll know that you’re in a secure area of our website when a “padlock” icon appears on your screen and the “http” portion of our URL address changes to “https.” The “s” stands for “secure.”

Marketing:

We may use your email address to serve you with online advertising (including on social media channels) operated by Facebook, Instagram and Google where you are a registered user of such services.

Our online and social advertising will include personalised and non-personalised remarketing. Personalised advertising is marketing which has been specifically tailored to you. For example, our personalised remarketing will feature our products and services that we think are most likely to appeal to you. Non-personalised advertising is marketing about our products and services generally and is not tailored to any particular individual.

Where we are undertaking personalised online advertising, we will also use information that we observe about you from your interactions with our Site, and our email communications to you and/or with our products and services

The right to access – You have the right to request GKC for copies of your personal data. We may charge you a small fee for this service.
